Your first login

When you sign up, you will receive an email providing you with an “admin” username and password. In order to access your account, point your browser to:

www.cloudesk.co/yourcompany and enter the provided credentials on the login page.

Secure your admin account - you need it to configure your system, install software modules, and administer users!

This is what you will see on your first login

How to install Software Modules

Upon first login, when you have no modules installed, you will be brought to the Local Modules page above. You can install any module by clicking install button beside the Icons. For example to install the CRM module, click on install button as shown on the right.

As you install modules, you will see new menu items on the top navigation bar, like the image on the right.

You can install further modules any time by navigating to Settings, then Local Modules.

The more modules you install, the more Cloudesk space resources you consume which will count towards your usage. Free tier can usually afford one or two modules that may last several months depending on your usage patterns..

Installing Accounting and Finance modules usually prompts you for additional information such as your Currency, Sales Tax, and Purchase Tax.

You will also be asked to Choose the Accounting package templates that will automatically setup your taxes and chart of accounts depending on your country's standards. If you cannot find a package that suits your local accounting standards, just choose Custom.

How to create and administer users

Do not use your admin account for day-to-day work on Cloudesk ERP. It is thus important to create regular users of the system that have access only on the modules (applications) they will work on.

Navigate to Settings, Users,

then click on Create.

You will be presented with the User page below

Fill in the appropriate information. Under Application, choose the modules and roles they can access using the pull down menus.

Odoo can automatically send emails to new users for the purpose of setting their own passwords. However this feature will not work until you complete the step: Configure outgoing email servers

How to allow users to reset passwords

It is important for users to be able to reset their own passwords, some users forget their passwords often and it could add up to an administrator’s duties to manually reset passwords - besides it is not good practice.

Click on the Settings on the top menu, the General Settings. Under Portal Access, check Enable password reset from Login page

How to configure Odoo for Outgoing email

Odoo can send email notifications to your users automatically such as invoices, reminders, password resets, etc, with the outgoing email functionality.

Navigate to Settings, General Settings under Configuration Menu.

You should be presented with the General Settings Page. Within this page is the Email configuration as shown below.

Enter your valid domain name in the Alias Domain field.

Click on Configure outgoing email servers and enter the appropriate email settings for your service provider, as shown in below example. Click on Test Connection button to test your settings. If it doesn't work the first time, try other combinations of SMTP Port and Connection Security settings.

How to configure Odoo for Incoming email

Similar to outgoing emails, navigate to Settings, General Settings under Configuration Menu. Click on Configure outgoing email servers and enter the appropriate email settings for your service provider, as shown in below example.

Odoo can perform various actions on your incoming email. A good example is automatically creating leads in your Sales / CRM for mails received on sales@example.com

To enable automatic CRM / Sales Leads creation based on incoming email, click on Create New Record Pulldown menu, Search more, and choose crm.lead (Lead/Opportunity)
